Position Summary

The Admin and Logistics Officer will play a significant role in supporting the implementation of the Rising Hope: Flood Recovery and Resilience Project by ensuring efficient administration, logistical coordination, and operational support. This role requires strong organizational skills, attention to detail, and the ability to manage resources effectively to ensure the smooth execution of project activities. The officer will work closely with the Upazila Coordinator, project team, and local stakeholders to facilitate administrative and logistical processes, ensuring alignment with JAAGO Foundation’s policies and donor requirements.

Job Responsibilities

A. Administrative Support:

  • Manage and maintain project documentation, including contracts, reports, and records, in compliance with organizational and donor guidelines.
  • Coordinate meetings, campaigns, training sessions, and workshops by managing schedules, sending invitations, and preparing agendas.
  • Ensure the timely processing of project-related approvals, permits, and documentation with local authorities.
  • Maintain office supplies, equipment, and inventory for the field office, ensuring smooth daily operations.

B. Logistics Coordination:

  • Oversee the procurement, storage, and distribution of project materials such as agricultural inputs, hygiene kits, educational supplies, and medical items.
  • Coordinate transportation for project staff, volunteers, and materials to field locations, ensuring cost-effectiveness and timely delivery.
  • Maintain records of logistics operations, including inventory tracking, delivery schedules, and transportation logs.
  • Ensure proper warehousing and storage of goods, adhering to safety and compliance standards.

C. Financial and Compliance Support:

  • Assist in maintaining accurate financial records for project expenses, adhering to JAAGO’s financial policies.
  • Coordinate with vendors and service providers to ensure timely and transparent transactions.
  • Support the preparation of expense reports, budgets, and financial projections for administrative and logistical activities.
  • Ensure compliance with donor requirements, organizational policies, and local regulations.

D. Field-Level Operations:

  • Provide logistical support during community events, such as distribution activities, training sessions, and awareness campaigns.
  • Assist in mobilizing local volunteers and organizing their participation in project activities.
  • Respond to on-the-ground operational challenges, including transportation issues, supply chain disruptions, or weather-related delays.
  • Regularly visit field locations to monitor the status of logistical operations and provide hands-on support.

E. Risk Management and Problem-Solving:

  • Identify potential risks related to logistics, such as supply chain disruptions or resource shortages, and propose mitigation strategies.
  • Address and resolve day-to-day administrative and logistical issues promptly, ensuring uninterrupted project activities.

Education

  • Bachelor’s/ Degree certified, Diploma, or equivalent in Business Administration or a related field or equivalent.

Experience

  • 2–4 years of experience in administrative and logistical roles, preferably in development or humanitarian projects.
  • Prior experience in flood recovery, resilience projects, or emergency response is an advantage.

Skills and other competencies

  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills to collaborate with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and logistics management tools.
  • Fluency in both English and Bengali; knowledge of local dialects is an asset.
