Our Youth Development Program empowers 50,000 young citizens with skills and resources for national development. JAAGO actively collaborates with local communities, women, youth, and marginalized groups to develop climate resilience and sustainable livelihood options. JAAGO promotes civic education to enhance youth civic participation, collective action, and leadership for effective societal change.

Position Summary

JAAGO Foundation Trust is actively seeking experienced Admin Officer applicants for the “Shopner Sharothi” under GESP (Girls Education and Skills Partnership), a project focused on addressing challenges faced by adolescent girls and young women in Cox’s Bazar and Bandarban. The project aims to empower through education, skills development, and employment opportunities.

A skilled and proactive professional with expertise in administrative skills will play a crucial role in ensuring smooth project operations, managing administrative tasks, and providing logistical support as needed. This role requires a combination of administrative, organizational, and technical skills.

The successful candidate will be instrumental in achieving the project’s outcomes, objectives, and outputs, specifically in the Cox’s Bazar and Bandarban areas. This role will report directly to the Project Manager, Shopner Sharothi, GESP. We are particularly interested in candidates who are citizens of Bangladesh. Please note that this position’s availability is contingent upon the confirmation of project funding.

Job Responsibilities

A. Administrative Tasks:

  • Oversee day-to-day administrative operations of the Shopner Sharothi, GESP project.
  • Coordinate logistics for project events, meetings, and workshops.
  • Maintain records and documentation related to project activities.

B. Inventory Management:

  • Manage and maintain an inventory of project-related equipment and supplies.
  • Coordinate the procurement of project and administrative resources.
  • Keep track of usage and conduct periodic inventory checks.

C. Coordination with Service Providers:

  • Liaise with external service providers and vendors.
  • Collaborate with vendors for the procurement of resources and services.
  • Ensure that all contracts and agreements are up to date.

D. Compliance and Documentation:

  • Ensure compliance with organizational policies and procedures.
  • Maintain documentation related to procurement processes.
  • Support project managers in preparing administrative reports.

E. Training and Capacity Building:

  • Provide training to project staff on Administrative procedures and systems.
  • Conduct capacity-building sessions on administrative best practices.
  • Keep project staff informed about updates and improvements in administrative and logistics support.

Qualifications

Education:

  • Bachelor’s degree in Business Administration, or a related field.
  • 3-5 years of experience in administrative roles.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in English and Bengali.

Experience: Preferred experience includes prior work in an administrative or office support role, with the ability to manage multiple tasks, maintain accurate records, and work effectively both in teams and independently in dynamic environments.

Skills and other competencies

  • Prior experience in an administrative or office support role is preferred.
  • Strong attention to detail and reliability.
  • Strong multitasking abilities with the capability to work under pressure in dynamic environments.
  • Ability to work under high pressure in unstable and frequently changing contexts.
  • Familiarity with administrative procedures and office equipment.
  • Understanding of documentation, filing systems, and basic procurement processes.
  • Basic knowledge of Microsoft Office and related softwares.
  • Flexibility to work on weekends, holidays, and varying shifts as required.
  • Preference will be given to candidates from the Chittagong Hill Tracts (CHT) or those with multiple years of work experience in the CHT region.
