Position Summary

The Admin Officer is responsible for overseeing the administrative operations of a school branch, ensuring smooth functioning across various areas. This includes managing the branch's budget, maintaining expense records, coordinating events, and handling purchases related to hygiene and nutrition products.

The role involves significant interaction with students, staff, and the local community, such as tracking student attendance, managing admissions, and preventing dropouts. The Admin Officer is also tasked with maintaining documentation, overseeing recruitment processes, supervising staff, ensuring compliance with organizational policies and fostering a collaborative work environment.

Job Responsibilities

  • Ensure the efficient operation of the school by upholding discipline, safety, security, logistics, health, hygiene, and overall administrative functions.
  • Maintain accurate financial and asset records, which include managing petty cash, inventory of school assets, and thorough documentation (both physical and digital) of legal and official documents.
  • Supervise student attendance and admissions, consistently update records of absenteeism, notify the Sponsorship Officer after three consecutive days of absence, and facilitate the admission process in collaboration with guardians.
  • Oversee the procurement and logistics of essential supplies, including hygiene products and nutritional provisions.
  • Organize and manage all events, volunteers and visitors.
  • Assist in the recruitment of staff.
  • Supervise Community Officer and Support Staff effectively.
  • Undertake any additional official duties as assigned by the supervisor.

Qualifications

Education:

  • Graduation from a UGC-approved university.

Experiences:

  • 1 to 2 years of experience in an administrative role, preferably in an educational setting. Freshers are also encouraged to apply.

Additional Requirements:

  • Excellent written and verbal communication skills are essential for effective communication with students, parents, teachers, other staff members and local government authorities.
  • The ability to manage multiple tasks, prioritize responsibilities, and meet deadlines is crucial.
  • Proficiency in using office software such as G Suite (Word, Spreadsheet, Drive).
  • Ability to work well with diverse groups of people, including students, parents, teachers, and other staff members.
  • Adapt to identifying and resolving problems efficiently and effectively.
  • Precision in record-keeping, data entry, and administrative tasks to ensure accuracy.
  • Ability to adapt to changes in a dynamic educational environment.
