Position Summary:

The Information Officer is the first point of contact for visitors and members, providing friendly and professional service. Key responsibilities include managing front desk operations, addressing inquiries and complaints, assisting with registration, and maintaining accurate attendance records. The role also involves administrative tasks, event support, and ensuring safety compliance. Collaboration with team members is essential for efficient center operations. The ideal candidate will exhibit strong communication skills and a proactive approach to customer service.

Job Responsibilities:

Customer Service:

  • Greet and welcome visitors and members in a friendly and professional manner.
  • Provide information about the center’s services, programs, and events.
  • Address and resolve inquiries, complaints, or issues promptly and efficiently.
  • Assist visitors with the registration process and membership applications.

Front Desk Operations:

  • Answer and direct phone calls, emails, and other correspondence.
  • Maintain a clean and organized front desk area.
  • Manage check-ins and check-outs for members and visitors.
  • Schedule appointments and manage booking of facilities and equipment.

Administrative Duties:

  • Maintain accurate records of visitor and member attendance.
  • Handle administrative tasks such as filing, data entry.
  • Assist in the planning and execution of events and programs.
  • Handling the membership fees with the accounts department along with the money.
  • Share all important message/ Issues with Admin dept. regularly.
  • Taking program photos and uploading to the admin public.

Security and Safety:

  • Monitor access to the center and ensure that all visitors and members sign in and out.
  • Report any security concerns or suspicious activities to the appropriate authorities.
  • Ensure compliance with health and safety regulations.

Team Collaboration:

  • Coordinate with other staff members to ensure the efficient operation of the center.
  • Provide support for special projects and initiatives as needed.
  • Participate in staff meetings and training sessions.

Education:

  • Bachelor’s degree in any related subject from reputed University or College in Bangladesh.
  • Diploma in Administration/ Office Management/ Front Office Management/ Logistics or any other relevant diploma preferred

Experience:

  • Minimum 2 years of relevant professional experience.

Additional Requirements:

  • Strong communication skills and ability to work independently as part of a team.
  • Excellent communication in both English and Bengali.
  • Previous experience working in Admin and Logistics would be added advantage.
  • Experience in using Google workspace.
