Finance Officer, NexGen Graduate Fellowship Programme
Position Summary
This role ensures the financial integrity and smooth administrative functioning of the fellowship program, maintaining donor compliance and supporting operational needs.
Job Responsibilities
Financial Management & Reporting
- Prepare and monitor project budgets, ensuring alignment with approved financial plans.
- Process payments, reimbursements, and advances accurately and in a timely manner.
- Maintain accurate records of all financial transactions including receipts, invoices, and bank statements.
- Prepare monthly, quarterly, and annual financial reports for internal stakeholders and donors.
- Track expenditure against budget and alert management to any variances.
Procurement & Logistics
- Manage the procurement of goods and services in accordance with organizational policies.
- Ensure competitive and transparent vendor selection, and maintain updated supplier records.
- Oversee logistical arrangements for project-related travel, workshops, and field visits.
- Support the preparation and issuance of purchase orders and payment vouchers.
Administrative Coordination
- Maintain filing systems (both physical and digital) for financial and administrative documentation.
- Provide administrative support in scheduling meetings, handling communications, and maintaining office operations.
- Coordinate with vendors, utility services, and office maintenance teams to ensure smooth operations.
Compliance & Audit Support
- Ensure adherence to financial and administrative policies of JAAGO Foundation Trust, YouthNet Global, and donors.
- Maintain audit-ready documentation and ensure timely resolution of audit queries.
- Coordinate with external auditors during audit exercises and support internal financial reviews.
- Assist in capacity building of staff regarding financial procedures and donor compliance requirements.
Safeguarding
- Uphold and promote the organization’s safeguarding policies to ensure the safety, dignity, and well-being of all children, young people, and vulnerable adults engaged in our activities.
- Immediately report any concerns, suspicions, or incidents of safeguarding breaches in line with the organization’s reporting procedures.
- Maintain professional boundaries and conduct that fosters a safe and respectful environment for all beneficiaries, colleagues, and stakeholders.
Qualifications & Experience
- Minimum Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (professional qualifications such as CA, ACCA, or CMA will be considered an added advantage).
- Minimum of 3–5 years of progressive experience in finance and administration, preferably within NGOs or donor-funded projects.
Skills & Competencies
- Attention to detail and high level of integrity.
- Proficient in accounting software (e.g., QuickBooks, Tally) and Microsoft Excel.
- Strong organizational and multitasking skills.
- Ability to work collaboratively in a fast-paced environment.
